What this notice covers

This notice explains how we use limited professional contact information to introduce relevant RideTheWeb services to businesses in the United Kingdom. It applies to decision-makers and business contacts. It does not cover patient information processed for a dental practice under a separate client agreement.

Information we use

We may use:

  • your professional name and role;
  • your employer or business name;
  • a work or role-based email address and public business telephone number;
  • public facts about the business that help us decide whether our service may be relevant;
  • the source and date on which we found the information; and
  • our contact history, your replies and your communication preferences.

We do not intentionally collect private contact details, patient information or special-category personal information for B2B prospecting.

Where the information comes from

We obtain professional information from public business sources, primarily:

  • the website of the business you represent;
  • Companies House;
  • professional or regulatory listings where relevant; and
  • information you provide when you reply or speak with us.

We can provide the specific source on request.

Why and how we use it

We use the information to:

  • identify businesses that may have a genuine use for our services;
  • send a small number of individually targeted B2B messages;
  • respond to questions and arrange requested conversations;
  • maintain an accurate suppression list when someone opts out; and
  • evaluate whether our outreach is relevant and proportionate.

We do not sell this information or use it for unrelated advertising.

Lawful basis

We rely on our legitimate interests in developing RideTheWeb and introducing relevant services to corporate business contacts. We limit outreach to professional information published for business purposes, target a small and relevant audience, identify ourselves, and make it easy to object.

Where the Privacy and Electronic Communications Regulations require consent, or where the proposed recipient is not a corporate subscriber, we do not rely on this approach without another valid route.

Who receives the information

Information may be processed on our instructions by:

  • HighLevel, Inc. and the subprocessors used for the features we enable, for prospect records, calendar routing, sales administration and, where enabled, email;
  • Google LLC, for business email and calendar services; and
  • professional advisers where necessary.

We require service providers to protect the information and use it only for the agreed service.

International transfers

HighLevel and some of its subprocessors process information in the United States and may provide support from India. HighLevel states that it participates in the UK Extension to the EU–US Data Privacy Framework and its Data Processing Addendum provides UK transfer mechanisms for restricted transfers. Where another provider processes information outside the UK, we use the safeguards required by UK data-protection law.

How long we keep it

  • Non-responsive prospect records: up to six months after the last outreach message.
  • Records relating to an active sales conversation: up to 24 months after the last meaningful contact, unless needed longer for a contract or legal obligation.
  • The minimum information required to honour an opt-out: for as long as reasonably necessary so we do not contact the address again.

We review and delete information that is no longer required.

Your rights

Depending on the circumstances, you may ask us to:

  • give you a copy of your personal information;
  • correct inaccurate information;
  • delete or restrict our use of it; or
  • explain or challenge our reliance on legitimate interests.

You have an absolute right to object to the use of your personal information for direct marketing. Reply “no”, “unsubscribe” or “remove”, or email stephen@ridetheweb.uk. We will stop the marketing and retain only the minimum information needed to honour your opt-out.

Automated decisions

We do not use this information to make solely automated decisions with legal or similarly significant effects.
